This policy explains how myStaffRoom collects, uses, and protects personal information when you use our platform, website, and related services.

1. Introduction

myStaffRoom ("we", "us", or "our") respects your privacy. This Privacy Policy describes the personal data we process, why we process it, and the choices you have.

This policy applies to educators, school owners, and visitors who use our website, progressive web app (PWA), and related services.

2. Information we collect

We may collect the following categories of information:

  • Account information — name, email address, password (stored in hashed form), account type, and profile details you provide
  • Professional information — role, institution, location, qualifications, experience, portfolio content, and credentials you choose to display
  • Content you submit — posts, comments, reactions, images, room activity, and other materials shared on the Platform
  • Connections and messaging — connection requests and acceptances, and the content of direct messages you send or receive (including whether a message is saved)
  • Rooms and membership — rooms you join or request to join, and related membership status
  • Notifications — your notification preference settings, and, if you enable browser or PWA push notifications, a push subscription for your browser (for example an endpoint URL and encryption keys needed to deliver notifications). We do not receive the contents of your device lock screen beyond what we send in each notification
  • Usage data — pages viewed, features used, interactions, and approximate device/browser information
  • Communications — support requests and correspondence with us

3. How we use information

We use personal information to:

  • Provide, maintain, and improve the Platform
  • Create and manage your account
  • Enable community feeds, rooms, portfolios, connections, and direct messaging
  • Deliver optional push and in-app notifications about activity you care about (for example likes, comments, room updates, connection requests, and messages), according to your preferences and browser permission
  • Support directory and public portfolio features where available
  • Send service-related notices (e.g. security, account updates)
  • Respond to support enquiries and enforce our terms
  • Analyse usage to improve performance and user experience
  • Comply with legal obligations

4. Notifications and installed app

You may enable browser or installed-app (PWA) notifications. Doing so is optional and requires your device or browser permission. You can change notification categories in your account notification settings and revoke browser permission at any time through your device or browser controls. Disabling permission or removing a subscription stops further push delivery to that browser.

To avoid unnecessary alerts while you are actively using the Platform, we may suppress certain push notifications when the app is open on a relevant screen. Badge and in-app indicators may still update.

5. Direct messages

Direct messages are available between connected educators. Message content is stored so we can deliver conversations to you and the other participant. Unsaved messages may be automatically deleted after a short retention period once they have been opened (currently about 24 hours), unless you or the other participant saves them. Saved messages are kept until deleted by a participant or as otherwise required for the service or law. Do not use messaging for content you need to retain indefinitely unless you save it or keep your own copy.

6. Legal basis for processing

Where applicable, we process personal data based on one or more of the following: performance of a contract (providing the Platform), your consent (for example optional push notifications), our legitimate interests (security, analytics, product improvement), and compliance with legal obligations.

7. How we share information

We do not sell your personal information. We may share data:

  • With other users — according to your profile and privacy settings (e.g. public directory listings, posts, portfolio content, connection status visible to relevant parties, and messages shared with the other participant in a conversation)
  • With service providers — hosting, email, real-time messaging infrastructure, push delivery networks, analytics, and other infrastructure partners under contractual safeguards
  • For legal reasons — when required by law or to protect rights, safety, and security
  • In a business transfer — in connection with a merger, acquisition, or asset sale, subject to appropriate protections

8. Data retention

We retain personal information for as long as your account is active or as needed to provide services, resolve disputes, enforce agreements, and meet legal requirements. Direct messages may be retained for shorter periods as described in the messaging section above. When data is no longer needed, we delete or anonymise it where feasible. Push subscription records for a browser are removed when you unsubscribe or when the subscription is no longer valid.

9. Security

We implement administrative, technical, and organisational measures designed to protect personal information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

10. Your rights and choices

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal data, and to object to certain processing or request portability.

You can update much of your profile information in account settings, manage notification preferences on the notifications settings page, and control browser notification permission in your device or browser. To exercise other rights, contact us at info@mystaffroom.org. We may need to verify your identity before responding.

11. Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Platform is used. The installed app and service worker may store limited technical data on your device to deliver the PWA experience and notifications. You can control cookies through your browser settings; disabling some cookies may affect functionality.

12. Children

myStaffRoom is not directed at children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will take appropriate steps to delete it.

13. International users

If you access the Platform from outside Nigeria, your information may be processed in Nigeria or other countries where we or our providers operate. By using the Platform, you consent to such transfers subject to applicable law and safeguards.

14. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date. Material changes may also be communicated via email or in-product notice where appropriate.
